This policy explains what information Answer Perfect collects when you use our AI voice receptionist service, how we use it, and the choices you have. It covers both the businesses that subscribe to Answer Perfect and the people who call those businesses.

01 Overview & Who We Are
Answer Perfect (“Answer Perfect,” “we,” “us,” or “our”) provides an artificial-intelligence voice receptionist service that answers inbound phone calls on behalf of service businesses, books appointments, screens unwanted calls, and routes messages and notifications to business owners. This Privacy Policy describes how we handle information in connection with our website at answerperfect.com, our subdomains, and the services, applications, and features we offer (together, the “Service”).
Answer Perfect is operated by Reach Optimized LLC d.b.a. Answer Perfect, located at 1711 Woolford Ln, Gambrills, MD 21054. By using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.
02 Who This Policy Covers
Our Service involves two distinct groups of people, and we treat their information differently:
Customers — the businesses and their authorized users who create an account, subscribe to a plan, and configure Answer Perfect to answer their phones. For Customer account and billing data, Answer Perfect generally acts as the business responsible for that data (a “controller”).
Callers — the members of the public who call a Customer’s business phone number and interact with the AI receptionist. The information collected during those calls belongs to and is directed by our Customer. For Caller information, Answer Perfect generally acts as a service provider/processor on behalf of the Customer (see Section 14).
If you are a Caller and have questions about how your information is used, the business you called is the best first point of contact, because they decide what to collect and how it is used.
03 Information We Collect
Information Customers provide
Account information: name, business name, email address, phone number, and login credentials.
Business configuration: services offered, hours, locations, pricing, FAQs, knowledge-base content, call-handling instructions, and notification preferences you set up for your AI receptionist.
Billing information: plan selection and payment details. Card payments are processed by our payment processor (Stripe); we do not store full card numbers on our own systems.
Support communications: messages you send us, and the contents of those messages.
Information collected from Callers during calls
Call audio recordings and AI-generated transcripts.
Caller name, phone number, and any details the Caller provides (such as reason for calling, address, appointment requests, or messages for the business).
Call metadata: date, time, duration, call outcome, classification (for example, booking, lead, or spam), and call summaries.
Information collected automatically
Device and usage data such as IP address, browser type, pages viewed, and actions taken in the Service.
Cookies and similar technologies (see Section 10).
04 Call Recordings & Transcripts
A core function of the Service is answering phone calls, which involves recording call audio and generating written transcripts so the AI can understand the Caller, take action, and create a summary for the Customer.
Recording laws vary by location.
Laws in many U.S. states and other countries require that one or more parties consent before a call is recorded. As between Answer Perfect and the Customer, the Customer is responsible for providing any legally required notice or obtaining any consent from Callers before calls are recorded, and for using the Service in compliance with applicable recording, wiretap, and privacy laws. Customers can configure a recording disclosure in their AI greeting; we recommend doing so.
Recordings and transcripts are used to deliver the Service to the Customer (for example, to book appointments, route messages, and provide call summaries), and may be processed by our AI and service providers as described below.
05 How We Use Information
We use the information we collect to:
Provide, operate, and maintain the Service, including answering calls, booking and reminding about appointments, screening spam, and sending notifications.
Process transactions, manage subscriptions, and send service-related and billing communications.
Configure and improve each Customer’s AI receptionist using their settings and knowledge base.
Provide customer support and respond to inquiries.
Monitor, maintain, secure, troubleshoot, and improve the Service, and develop new features.
Detect, prevent, and address fraud, abuse, security incidents, and other harmful activity.
Comply with legal obligations and enforce our agreements.
We do not sell personal information, and we do not use Caller call content for advertising.
06 AI & Automated Processing
The Service uses artificial intelligence and automated systems, including speech recognition, natural-language understanding, and large language models, to interpret calls, generate responses, classify and summarize calls, and take actions such as scheduling. These systems are provided in part by third-party AI and telephony providers acting as our service providers.
AI systems are not perfect and may occasionally misunderstand a Caller, transcribe inaccurately, or take an unintended action. The Service is intended to assist a business, not to replace human judgment for important or sensitive matters. Where we use third-party AI providers, we work to ensure that Customer and Caller content is not used to train those providers’ general models, except as permitted under our agreements; specifics may vary by provider.
07 How We Share Information
We share information only as described here:
With the Customer: Caller information collected during a call is made available to the business that was called.
With service providers: vendors that help us operate the Service, under contracts that require them to protect the information (see Section 8).
For legal reasons: when required by law, subpoena, or legal process, or to protect the rights, property, safety, or security of Answer Perfect, our users, or others.
Business transfers: in connection with a merger, acquisition, financing, or sale of assets, in which case we will require the recipient to honor this policy or provide notice of any material change.
With your direction or consent: when you ask us to share information or otherwise consent.

This list may change as our Service evolves. We require these providers to use information only to perform services for us and to maintain appropriate safeguards.
09 SMS, Calls & Communications
With Customer accounts, we may send service messages by email, SMS, or phone, such as account notices, call summaries, appointment confirmations, and reminders. Where the Service sends SMS or other messages to Callers on a Customer’s behalf, the Customer is responsible for ensuring it has any consent required under the Telephone Consumer Protection Act (TCPA) and similar laws, for honoring opt-out requests, and for complying with messaging and do-not-call rules. Message and data rates may apply. Recipients can opt out of non-essential messages by replying STOP or using the unsubscribe options provided.
10 Cookies & Tracking
Our website uses cookies and similar technologies to keep you signed in, remember preferences, measure performance, and understand how the site is used. You can control cookies through your browser settings; disabling some cookies may affect how the website works. Where required, we will request consent for non-essential cookies through a banner or settings tool.
11 Data Retention
We retain information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Call recordings, transcripts, and Caller data associated with a Customer account are generally retained according to the Customer’s settings and plan, and are deleted or returned within a reasonable period after a Customer’s account closes, subject to legal and operational requirements.
12 Security
We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit, access controls, and reliance on reputable infrastructure providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and any authorities as required by law.
13 Your Privacy Rights
Depending on where you live, you may have rights regarding your personal information, such as the right to access, correct, delete, or obtain a copy of it, to opt out of certain processing, and to not be discriminated against for exercising these rights.
California (CCPA/CPRA)
California residents may request access to or deletion of personal information and may opt out of any “sale” or “sharing” of personal information. We do not sell personal information. To exercise these rights, contact us using Section 18.
EU / UK / other regions
If you are in a region with comprehensive privacy laws (such as the GDPR), you may have rights to access, rectify, erase, restrict, or port your data, and to object to certain processing. For Caller information, please contact the business you called, which directs that processing; we will assist that business as their service provider.
To make a request, use the contact details in Section 18. We may need to verify your identity before acting on a request.
14 Controller / Processor Roles
For Customer account and billing information, Answer Perfect determines the purposes and means of processing and acts as a controller. For Caller information collected through calls, the Customer determines why and how that information is used; Answer Perfect acts as a service provider / processor and processes that information on the Customer’s documented instructions. Customers subject to specific privacy laws may request a Data Processing Addendum (DPA), available on request.
15 Children’s Privacy
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
16 International Users
Answer Perfect is based in the United States, and the information we process is handled in the United States and other countries where we or our service providers operate. By using the Service, you understand that your information may be transferred to and processed in countries that may have different data-protection laws than your own.
17 Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised policy.
